Bookings and calendar

Services, schedules, staff, holidays and day-to-day appointment management.

What is configured on the Bookings screen? It is the control panel for how your client books: times, cancellation, prices and legal texts; the details you ask for live in Booking form. How do I enable or disable online bookings? Online bookings are optional: you can use your website as a showcase and enable bookings when you are ready. How do I change how often times are offered or the notice needed to book? In Settings › Bookings › Online bookings: slot interval, minimum notice, maximum days ahead and the status new appointments get. Why are no available slots showing on the booking page? Usually a service, staff member, schedule or advance booking rule is missing. How do I change my opening hours? Weekly hours are in Settings › Business › Hours; each staff member and each service can have their own, and exceptions go in Holidays. How do I manage holidays, closures or special hours? Use Holidays (Settings › Business) to close specific days or define special shifts without changing the whole week. How do I change the price, duration or photo of a service? In Services, editing the service. Changes apply to new appointments; they do not rewrite booked ones. How do I add a staff member to my team? In Settings › Services & team › Team: which services they perform, in which locations, their hours and their days off. How do I create an appointment by hand or handle a walk-in? From the Schedule, with "New appointment" or "Serve a walk-in": the client is saved in Clients when you save the appointment, with no need to add them first. Can I book an appointment without the client phone number? Yes. It is saved in Clients under their name, with no notices, and that name cannot repeat: if someone already has it, the form asks you. Why does the form ask whether it is the same person when I book an appointment? Because the phone, email or name already belongs to another client. One tap tells it whether it is them or someone else: two records are never mixed without you saying so. Can I ask Flow to book an appointment for me? Yes: tell it in your own words, typed or spoken, and it opens the form with everything filled in. You save it. What do appointment statuses mean and what do I do with a no-show? Pending, confirmed, completed, cancelled and no show. Past ones are marked as done automatically, unless you prefer to close them yourself. How do I view the calendar by day, week or month and filter by staff? The Schedule has three tabs: Today (the day list), Plan (day, week or month) and Search (every appointment, cancelled ones included). How do I move an appointment to another time, day or staff member? By tapping the appointment in the Schedule and pressing "Edit", or dragging it in Plan. With "Edit" it is saved when you press "Save changes"; when you drag it, if the client is going to get the "Appointment moved" notice, it asks you first. What is the difference between cancelling and deleting an appointment? Cancelling voids the appointment, notifies the client and keeps it in the history. Deleting is only for removing a mistake you made when booking it. An appointment was cancelled, how do I fill the gap? Gaps suggests who to bring forward and who is waiting, but it never moves an appointment on its own. How does the waitlist work? The waitlist stores interested clients and can notify them when a compatible slot becomes available. How do I sell passes or memberships to my clients? Create the pass in Settings › Services & team › Passes, give it to the client and the balance is deducted automatically when booking. Can one appointment need more than one staff member? Yes: a service can be split into stages, and each stage only occupies its staff member during its own window. How do I work with several locations? Each location has its own address, hours and team, and the client chooses where to be served. What do the Statistics tell me and what are they for? Appointments, revenue, where bookings come from and when people look for you, for the period you choose.
