An appointment was cancelled, how do I fill the gap?

Gaps suggests who to bring forward and who is waiting, but it never moves an appointment on its own.

Updated 05 Oct 2026

In Gaps › Fill gaps you pick a gap —a cancelled appointment or free time today or tomorrow— and we show you who could take it and why: who is waiting for it on the waitlist and who has an appointment later on and could move it up, most likely to say yes first. It is available on plans that include this feature.

You decide with one tap: "Offer it" sends them the proposal and, if they accept, the change applies itself; "Move up" moves their appointment right away, if you have already spoken to them; and "Give the slot" books it straight for whoever was waiting. If nobody fits, "Post the slot on social media" prepares a story in Marketing with the time already written.

BookflowR never writes to a client on its own to change their time. The only thing that can be automatic, if you enable it, is the offer sent to people on the waitlist: they did ask to be notified.

In restaurants only the waitlist is shown: bringing a table booking forward because another one dropped is not how a dining room works.
