What do appointment statuses mean and what do I do with a no-show?

Pending, confirmed, completed, cancelled and no show. Past ones are marked as done automatically, unless you prefer to close them yourself.

An appointment can be pending (waiting for you to accept it, if you set it up that way), confirmed, completed, cancelled or marked as "No show".

You do not have to close the day by hand: pending or confirmed appointments that are already over are marked as done (completed) automatically a few minutes after their end time. What is never changed automatically is a cancellation or a "No show", because only you know that. How many minutes to wait is set in the Schedule gear, "Agenda settings" › "Automatic closing"; if you turn off "Mark past appointments as done", none closes on its own and you close them yourself.

Marking a "No show" matters more than it seems: it stays in the client history, it counts towards knowing who lets you down and, if they came with a pass, it uses up the session as if they had shown up. That is what stops people booking just in case and not turning up. If you get a status wrong, open the appointment and press "Reopen".

Cancelling frees the slot immediately: it is offered again on the website and appears in Gaps in case you want to cover it.
